A Tour Manager's Guide

Show advancing is what happens between booking the show and actually being ready to run it.

A contract tells you where you're playing and what was agreed to. It does not tell you whether the airport pickup is confirmed, production can support the rider, credentials are sorted, the hotel has the right names or the person you're supposed to call at 2:00 AM is answering their phone.

That is the advance: the work done before show day to confirm the people, logistics, production, schedule and other details the touring team needs once they're on the ground.

What Does “Advancing a Show” Mean?

Advancing a show means taking the deal that was booked and working through the operational reality around it.

The touring side brings requirements, schedules, travel, personnel and production needs. The local side brings the venue, promoter, suppliers, crew and the conditions the show is actually walking into.

The advance is where those two sides get aligned before arrival. Questions get answered, changes get communicated and the show moves from being contracted to being operationally understood.

It is not one email and it is not one department. The scope changes with the artist, the show and the people carrying the work.

Tour Advancing vs. Show Advancing

Show advancing usually refers to working through the details of one specific date. Tour advancing is the same operational responsibility carried across a run of shows.

On a tour, the team is not only looking at each show on its own. Travel, timing, equipment, personnel and production also have to make sense from one date to the next.

People often use the terms interchangeably, and the exact language varies by team. The difference is mostly scope: one show versus the operation surrounding multiple shows.

Who Is Responsible for Advancing a Show?

Responsibility depends on the artist, touring-party size, production scope and type of show. Tour management may lead one advance; production management may carry the technical side; promoters, venues and local departments provide the information and resources tied to their operation.

On smaller tours, one person may be carrying several areas. On larger productions, responsibility is spread across departments.

The point is not that every tour uses the same structure. It is that the people involved know which parts they are responsible for and where decisions are coming from.

Show advancing starts before show day, but it is not a single conversation that happens once.

Some information is available when the show is booked. Other details only become usable after travel, production, venue operations or schedules have developed.

The advance becomes clearer as those details arrive and are confirmed. The exact timing changes by show, but waiting until arrival means the touring team is doing the advance while also trying to run the day.

What Does a Properly Advanced Show Look Like?

It does not mean nothing can change. Live events change.

It means the critical details are confirmed, the touring and local sides are working from reliable information, responsibilities are understood and the team is not arriving blind.

There will still be decisions to make on site. The difference is whether those decisions are being made from a clear operational picture or in the middle of preventable confusion.
